HOW WE HELP

Start with the problem.
Find a better way.

The right improvement might be a simpler process, a better connection or an automation. First, we find out what the work actually needs.

OUR STARTING POINT

A clear view of
what’s worth changing.

A process or operational review helps you understand where time, cost and capacity are being lost—and what to do about it.

We examine a defined area of work, involve the people doing it, investigate existing system capabilities and assess the options. Where data allows, we quantify the opportunity and explain the assumptions.

  • Current process and key points of friction.
  • Improvement options and likely benefits.
  • Implementation effort, constraints and dependencies.
  • A prioritised recommendation and practical next steps.

The scope, deliverables and price are agreed before paid work begins. Implementation can follow as a separately scoped engagement.

Recognise the friction.
Explore the possibilities.

These are starting points for investigation. The solution depends on your people, process and systems.

01

Too much manual administration

Repeated data entry, email handling, scheduling and chasing updates often build up as a business grows. Automating every step can preserve unnecessary work, so we start by looking at what can be removed or simplified.

What we investigate

We examine volumes, exceptions, handoffs and the time involved. Consistent, repeatable tasks may suit automation; unclear responsibilities or unnecessary approvals may need process redesign.

02

Systems that don’t work together

Microsoft 365, CRMs, accounting platforms and industry software can all be useful on their own. The friction often sits between them, where people copy information, reconcile differences or maintain spreadsheets.

What we investigate

We identify the source of truth, access requirements and available integration options. A connection should move the right information reliably and make failures visible—not simply transfer data faster.

03

Knowing there must be a better way

You may see the symptoms without knowing the cause. That is a useful starting point. We help separate a process issue from a system limitation and assess where new technology would make a meaningful difference.

What we investigate

We compare process changes, existing software capability, integration, automation and AI. We look for a proportionate solution and a business case you can understand.

THE RIGHT CAPABILITIES FOR THE JOB

One business problem.
A considered set of tools.

Process redesign

Remove unnecessary steps, clarify responsibilities and simplify how the work flows.

Automation

Handle suitable repetitive work consistently, with exceptions and oversight built in.

Systems integration

Connect existing platforms so people spend less time moving information.

Practical AI

Explore work involving documents, language or information where a defined use case, evaluation and human review make sense.

Reporting & visibility

Make ownership, outstanding work and operational information easier to see and act on.

A FEW USEFUL ANSWERS

Before we
start talking.

Do I need to know what I want to automate?

No. Start with the work that takes too much time, creates repeated administration or frustrates your team. We investigate how it happens, what your existing systems can do and whether process changes, integration, automation or AI could help.

Will we need to replace our existing software?

Not necessarily. We first investigate the capability of the tools you already own and the processes around them. Sometimes configuration or better connections are enough. Where a new tool is warranted, we explain the reasons and trade-offs.

What happens after the first conversation?

If there is a good fit, we agree the scope and price of the next step. This may be a paid operational review to map the work, assess opportunities and build a business case. Implementation is scoped around the improvements you decide to pursue.

Do you work outside Melbourne?

Yes. Cognitiv is based in Melbourne and works with service businesses across Australia. We offer on-site work in Melbourne where it adds value, and remote workshops and implementation for interstate businesses. Travel can be considered for larger engagements.
